How to choose the sound for your event according to capacity

Sound is the technical service that most shapes the outcome of an event and, curiously, the one most often booked by guesswork. A system that is too small forces you to push the volume into distortion; an oversized one pushes up the budget and overwhelms the room. Why capacity matters more than power

Watts are only part of the equation. What really matters is how many people are there, how they are spread around the space and how much background noise they generate. A hundred people chatting at a banquet absorb and compete with the sound far more than a hundred people sitting in silence at a conference. That is why the same capacity can call for very different systems depending on the use.

Small events: up to 50 people

For presentations, drinks receptions or intimate celebrations, a compact active system with one or two speakers and a small mixer is usually enough. The key here is not power but vocal clarity: a good wireless microphone, properly equalised, makes more difference than any extra speaker.

Medium-sized events: from 50 to 200 people

At weddings, private parties and medium-sized company days it is already worth working with a stereo system with subwoofers if there is going to be dancing, monitors if there are live performances and enough microphones for speeches and toasts. Placement matters as much as the equipment: raising the speakers and keeping them away from the audience stops the front rows suffering and the back rows straining to hear.

Large formats: more than 200 people and outdoors

From two hundred people upwards, and whenever the event is outdoors, line array systems come into play, along with delay towers to cover long distances and a dedicated sound engineer throughout the event. In town squares, exhibition grounds and industrial units the acoustics are unpredictable, so the technical team's experience counts as much as the equipment.

Do not forget the microphones and the spoken word

At conferences, talks and official ceremonies the message is the star. Headset or lavalier microphones for the speakers, handheld wireless units for the question and answer session and a mixer that manages priorities properly prevent the feedback and awkward silences that ruin a presentation.

A quick checklist before booking the sound

  • Confirm the real capacity and whether the event is indoors or outdoors.
  • Define the uses: background music, dancing, speeches or live performances.
  • Ask whether the price includes set-up, take-down and a technician during the event.
  • Check the available power point and the distance to the stage.
  • Ask the supplier to visit the venue or review the plans if the format is a large one.
