There is a scene that repeats itself in every company: twelve people in a room, a laptop in the middle of the table and four colleagues dialled in who cannot follow a word. It is not a problem with the video call platform, it is a problem with the room. The laptop has a microphone designed for one person forty centimetres away and a camera pointing at whoever opened it. A genuine hybrid meeting needs different equipment, and buying it does not always pay off.
Why audio always fails before the picture does
People joining remotely will forgive a mediocre image, but they check out mentally the moment they stop understanding what is being said. In a room with several people, the laptop microphone picks up whoever is nearest, the room echo and the air conditioning. The answer is not more volume: it is table or ceiling microphones covering every attendee, with echo cancellation. It is the same thing we do at an event with conference sound, on a different scale.
The camera: being able to see who is speaking
A fixed camera at one end of the table turns half the attendees into the backs of heads. What works in a meeting room is a wide-angle camera placed at eye level, and in larger rooms one that follows whoever is talking. You do not need a television crew: you need whoever is remote to see the face of the person speaking, because that is what allows them to interrupt, nod and take part rather than just listen.
The screen, and why two is better
With a single screen you have to choose between seeing the people dialled in and seeing the presentation, and the presentation almost always wins: remote participants vanish from the room and stop existing for those present. With two screens, or one split screen, the people outside stay in the field of view. It is a small detail that completely changes the dynamic of the meeting.

Hire or buy
If the company holds hybrid meetings every day, the sensible thing is to equip the room permanently. Hire makes sense in other cases: a quarterly board meeting, a shareholders' meeting, a three-day training course, a pitch to an important client, or a room that has to be built in a hotel because the event is not at the office. It also makes sense when more is needed than usual: a forty-person meeting is not solved with the everyday room kit.
When this stops being a video call and becomes an event
The line is fairly clear. As long as every participant can speak and the conversation runs both ways, it is a meeting and room equipment solves it. Once there is an audience that only listens, speakers taking turns and content that has to be recorded or broadcast, it is a hybrid event and it needs vision mixing, audio mixing and professional streaming. Confusing the two is what leads to an important board meeting being broadcast from a laptop.
